1.1 Account Information
When you create an account, we collect your name, email address, and authentication credentials. If you sign in via Google, we receive your name and email from Google's authentication service.
1.2 Workflow Data
When you use our Chrome extension to record workflows, we capture:
- Screenshots of your browser during the recording session
- Click locations and UI element descriptions
- Page URLs and navigation events
- Form field labels (not the values you type)
This data is used solely to generate your step-by-step guides.
1.3 Usage Data
We collect anonymous usage analytics including pages visited within our app, feature usage patterns, and error reports to improve the Service.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Generate and store your step-by-step guides
- Improve and personalise your experience
- Communicate with you about updates and support
- Detect and prevent security issues
3. Automatic PII Redaction
Docupaths automatically detects and blurs personally identifiable information (PII) in screenshots, including names, email addresses, phone numbers, and account numbers. This redaction occurs before data is stored or transmitted. You may also manually blur any region of a screenshot.
4. Data Storage and Security
All data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. Your workflow data and screenshots are stored on secured cloud infrastructure with access controls and audit logging.
5. Data Sharing
We do not sell your personal information. We share data only in these circumstances:
- With your consent — when you share a guide via a link, the guide content is accessible to anyone with that link
- Service providers — we use cloud hosting, analytics, and authentication providers who process data on our behalf under strict data processing agreements
- Legal requirements — if required by law, regulation, or legal process
6. Data Retention
We retain your account data for as long as your account is active. Workflow data and guides are retained until you delete them. When you delete your account, all associated data is permanently removed within 30 days.
7. Your Rights
Under applicable data protection laws (including GDPR and UK GDPR), you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data ("right to be forgotten")
- Export your data in a portable format
- Object to or restrict certain processing
- Withdraw consent at any time

9. Chrome Extension Permissions
Our Chrome extension requests only the permissions necessary to function:
- activeTab — to capture the current tab during recording
- scripting — to detect click targets and UI elements
- storage — to save your extension preferences locally
- sidePanel — to display the recording interface
The extension only activates when you explicitly start a recording. It does not run in the background or collect data outside of active recording sessions.
10. Children's Privacy
The Service is not intended for users under 16 years of age. We do not knowingly collect information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on our website.
